Will changes to invoices, bills, or payments in QuickBooks sync to Silo?
- No. The integration is one way, which means that data will only sync from Silo to QuickBooks, not the other way around.
Can I still generate reports in QuickBooks?
- All reports in QuickBooks will be available with the integration. However, it’s important to note that certain data may look different depending on how the integration mapping settings are configured.
Will everything I do in Silo sync to QuickBooks?
- The only data that will sync to QuickBooks from Silo is the creation, editing, or deletion of sales orders, purchase orders, expenses, credits, returns, and payments. Any other data entered into Silo (e.g., journal entries, waste transactions, inventory adjustments) will NOT sync to QuickBooks.
How often will data sync from Silo to QuickBooks?
- For QuickBooks Desktop: the integration will run using the Web Connector application every 5 minutes.
- For QuickBooks Online: the integration will send updates four times a day at 07:30, 13:30, 17:30 and 19:30 Eastern Time.
- For the new version of QuickBooks Online: the integration will send updates immediately after a resource is edited in Silo.
How do I know if an entity in Silo has synced to QuickBooks?
- In each of the Accounting screens, a column called “QB Sync Status” will show whether an entity has synced successfully or not. Below are the statuses and what they mean:
- View in QB: For QuickBooks Online, entities that sync successfully will have a link to that specific entity in QuickBooks
- Successful: Entities that have synced successfully to QuickBooks Desktop
- View error: For any entity that does not sync successfully, there will be a link to the error log, which contains the full error description and troubleshooting tips.
- Pending: Entities that have not attempted to sync to QuickBooks. These entries may not yet have been marked as received or fulfilled, so ensure you have checked this has been done.
- Syncing: Entities currently syncing may not yet appear in QuickBooks. This should be a temporary status, eventually updating to either “Successful”/"View in QB" or "View error".
- Disconnected: Entities that have been disconnected (using the "Disconnect" button in the error log) and will no longer be updated in QuickBooks if modified in Silo.
- Before syncing date: Entities dated earlier than the QB sync start date. These will not attempt to sync to QuickBooks unless they are edited.
How can I manage payroll in Silo?
- Payroll is not currently available in Silo but can be synced to QuickBooks from Silo as an expense or managed manually through QuickBooks internal payroll tools.
How do I account for the cost of waste in QuickBooks?
- Inventory is handled differently between Silo and QuickBooks, so it is not possible to automatically sync waste transactions. As a result, you'll need to manually handle recording the cost of waste in QuickBooks.
- The value of waste transactions can be found in Silo in the Reports > Inventory > Waste screen. From this view, you can find a summary total of all waste transactions recorded within a certain period of time and view waste by location (if the Multiple Locations feature is enabled) or by vendor. - This value can be manually added to QuickBooks via journal entry. We recommend adding through this method instead of the Waste method available in QuickBooks because QuickBooks does not track cost at the lot level, so the calculation for waste will be slightly different and cause discrepancies in inventory value numbers between the two systems.
How can I close a period in Silo once I have reconciled my books in QuickBooks?
- Silo recently added functionality to allow closing the books for a time period once everything is reconciled; reach out to your customer success manager to learn more.
- You can use the Begin Sync date setting to ensure that no data before a specified date will sync to QuickBooks. Keep in mind that this can cause errors if any data is entered into Silo for transactions before the begin sync date.
- Example: All books in payments in QuickBooks are reconciled up to Dec 1, 2022. To ensure none of the data that has been reconciled prior to that date get changed or affected in QuickBooks, you can set the Begin Sync Date in Silo to Dec 1, 2022.
